Why is exhibitor insurance essential?

Most trade show organizers — Place Bonaventure, Quebec City Convention Centre, Palais des congrès — now require proof of liability insurance of at least $2 million before authorizing the assembly of your stand. Without a compliant certificate, you are refused entry. Plus, your products and equipment travel and pass through many hands — a single incident can cost several thousand dollars.

🎪

Injury to a visitor

A visitor trips over a cable or cuts himself on a display. Without event liability, you are personally liable for medical expenses, loss of income and lawsuits.

📦

Theft of goods

A show receives 20,000 visitors — shoplifting is common. Your merchandise on display and your backstage inventory should be covered on-site and in transit.

💥

Break of stand or screen

Broken demo screen, damaged rented furniture, modular stand damaged during transport — the policy covers the replacement value.

Frequently Asked Questions — Exhibitor Insurance

The trade fair organizer requires proof of insurance — why?
Most convention centres and organizers (Palais des congrès de Montréal, ExpoCité Québec, etc.) require a $2 million RC certificate to cover injuries or damage caused by your booth to third parties. Without this certificate, your space will be refused at the time of assembly.
How much does exhibitor insurance cost for a 3-day show?
For a simple booth (self-employed, less than $5,000 worth of equipment), count $150 to $300 for a 3-day show. For a standard SME booth ($5,000–25,000), the premium is around $300 to $650.
Is the certificate issued in the name of the convention centre?
Yes. We issue the certificate directly with the organizer and/or the convention center as an additional insured. This is a standard requirement — just specify the exact name to our broker when applying.
Is my merchandise covered during transport?
Yes, the policy includes all-risk transit coverage — your merchandise and equipment are covered from your warehouse to the show, during the event, and upon return.
Would an annual policy be more advantageous?
If you exhibit more than 3 times a year, an annual all-risk policy is often cheaper. A standard annual policy is between $1,200 and $3,500. Ask Assur360 for a comparison.
If my event is cancelled due to bad weather, will I get a refund?
Event cancellation is a separate optional coverage. It compensates your deposit and expenses incurred if the event is postponed or cancelled due to force majeure. Explicitly ask your broker for this option.
How long before the show should I request my quote?
Ideally 2 to 3 weeks in advance, but Assur360 can process your request in 24–48 hours if the event is imminent. Contact us as soon as the date is confirmed.
Can I adjust the RCA limit to $5 million if the contract requires it?
Absolutely. Some corporate or government shows require $5 million or even $10 million in RCA. The surcharge is modest (20–40%) and our brokers adjust the policy within a few hours.
